On 29 September the earliest time offered online was 12 October, and patients needing an earlier visit are asked to call.

How it works

A subscription AI scribe that stores patient data in Australia. Several Australian providers exist, and some already connect to Australian dental practice software.

Strengths

Quick to start, low upfront cost, polished apps and regular updates from the provider.

Where each step is processed, including any overseas AI provider (the Privacy Act's overseas-disclosure rule, APP 8), how long audio is kept, and how well it handles perio charting.

How it works

Speech-to-text and a downloadable AI model run on one computer inside the practice, with no internet connection. Patient audio and notes stay in the building.

Strengths

Maximum control of patient data and no per-user subscription. Estimated hardware is a Mac mini or Mac Studio class machine with 48 to 64 GB of memory, around $3,000 to $6,000, plus microphones, setup and upkeep.

Trade-offs

More setup, a tuning period for dental terms, manual updates and a named person responsible for backups and access. Consent is still required.

Guardrails for recorded appointments

  • In NSW, recording a private conversation requires the consent of the people in it. The safe pattern is consent from the patient (or parent) and the team, asked and noted at every visit, with manual notes always available. Worth confirming with the practice's indemnity insurer.
  • Under Ahpra and ADA guidance, the dentist stays responsible for the accuracy of the record, so each note is reviewed and signed before it is saved.
  • TGA guidance treats transcription-only scribes as outside medical-device rules. A tool that suggests diagnoses or treatment could become a regulated device, so each product's status is worth confirming.
  • Patient information stays out of public AI tools, in line with OAIC guidance and the Privacy Act's security principle (APP 11).
